Scout ILM Notebook ("the App") is operated by VisionFI LLC ("we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our application.
Access Requirement: The App is available exclusively to authorized users whose employers have executed a current Master Services Agreement ("MSA") with VisionFI LLC and have a provisioned VisionFI environment. If your organization does not have an active MSA and provisioned environment, you will not be granted access to the App.
By using Scout ILM Notebook, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use the App.
Microsoft Azure Active Directory (Azure AD)
Authentication is handled entirely within your organization's Microsoft Azure AD tenant. VisionFI does not manage, store, or have access to your Microsoft credentials. We receive only the necessary authentication tokens and basic profile information from your organization's tenant to verify your identity and grant access to the App.

Important: All uploaded documents, content, and notes are stored exclusively on VisionFI's vCloud infrastructure hosted on Google Cloud Platform. No uploaded data is stored locally on your device.
GPS Coordinates in Photos
Important: GPS metadata is only collected when you explicitly approve the inclusion of location data in photos taken within the App. We do not track your device location or collect location data outside of photo capture. You can deny location access in your device settings at any time. When enabled, GPS metadata is used solely to verify document authenticity and create audit trails for compliance purposes.

Your documents, notes, and processing results are accessible to authorized users within your organization's VisionFI workspace according to your institution's access control policies as defined in your organization's MSA.

Data retention for your organization's VisionFI environment is governed by the terms of your organization's Master Services Agreement (MSA) with VisionFI LLC. Retention periods, data handling procedures, and deletion requirements are specified in your MSA and may vary based on your organization's regulatory requirements and contractual terms.

Data processed through Scout ILM Notebook belongs to your employer—the organization that executed the Master Services Agreement with VisionFI LLC. We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Material changes will be communicated to your organization's VisionFI administrator in accordance with the notice provisions in your organization's Master Services Agreement.
